As you prepare for retirement, you will no doubt be expending a lot of effort to ensure that your patients will be cared for after you close your practice. You’ll probably dedicate a lot of time to conducting final patient visits, offering new doctor referrals, and making sure patients know how to retrieve an up to date copy of their medical record. You may not stop to think about various other entities who may have a legal right to access your patients’ data. Fortunately, you can rely on My Retired Doctor to fulfil all legal records requests, not just patient requests.
If you choose us as your official medical records custodian, we can fulfil the following tasks for you:
Digitizing Patient Records
We can digitize your patient records using a high-quality scanning process. This can be done in bulk at the time we take over custodianship of your records, or piecemeal as individual records requests come in. Either way, the end result will be a high-resolution digital image of the patient files that is guaranteed to be as clear and legible as the original. We have special text-recognition technology as well as a rigorous quality control process for this purpose.
Fulfilling Patient Record Requests
Naturally, our most commonly performed task will be sending your former patients copies of their medical records. These records may be sent in paper or digital form as your patients prefer. We respond to patient requests quickly and uphold all HIPAA requirements in the process. We will fulfill all legal requests, including ones made by
- The patient themselves
- Their medical power of attorney
- The parents of patients under 12
- The executor or estate representative of a deceased patient
Responding to Emergencies
Patients and their representatives aren’t the only ones who may need to request a medical record from us. We will also provide records to emergency room doctors who may need to see those records in order to provide care, but have not been able to locate an incapacitated patients’ power of attorney.
Complying with Subpoenas
Finally, if any of your former patients’ records should be requested via a subpoena, we will handle the release for you.
